From 1 January 2027, Belgium’s federal mobility budget will become mandatory for companies, forcing many of them to rethink how they manage employee mobility. Edenred Belgium is preparing for the change with a new application, designed to bring different mobility-related expenses and administrative tasks together in one platform.
The mobility budget currently involves a range of tools and providers, from commuting solutions and fuel cards to electric vehicle charging and fleet management. According to Edenred, this fragmented system can create additional administrative work for HR departments, particularly when it comes to checking expenses, processing payroll and monitoring costs.
"Mobility now represents a significant part of the salary package, but managing it often involves a multitude of manual tasks and disparate systems for HR departments," said Patrick Langlois, General Manager Belux at Edenred.
The company’s new application, due to launch in September, aims to centralise these processes.
One platform for mobility expenses
The tool will automatically check employee expenses against the company’s mobility policy and generate the necessary payroll data. Rules will be applied in real time, while errors and corrections will also be handled automatically.
The platform will also monitor mobility costs and identify potential areas for savings. These could include unused subscriptions, expenses that do not comply with company policies or patterns in the use of electric vehicles.
The system is designed to cover more than the federal mobility budget itself. HR departments will also be able to manage commuting, company fleets, fuel cards and electric charging cards through the same application.
Companies will be able to configure the platform according to their own requirements, although Edenred said its standard version should be sufficient for most businesses.
The development comes as companies prepare for the planned move towards a mandatory federal mobility budget from 2027.
For HR departments, the change could mean having to manage a wider range of mobility choices and expenses while ensuring that they comply with the relevant rules.
